Upcoming Meetings of Board and ACC
There will be a meeting of the Architectural Control Committee on Monday, March 9 at 7:30pm.
The Board of Directors will meet on Wednesday, March 11 at 7:00pm.
Both meetings will be in the clubhouse.
Annual Meeting Set for March 31
On Tuesday, March 31, 2015 at 7PM at Tropical Sands Christian Church, 2726 Burns Road, Palm Beach Gardens, the Annual Meeting of the Association will be held for the purpose of electing directors and such other business as may lawfully be conducted. As per our certificate of incorporation, Article V, section 6, a second notice of the meeting and a ballot is sent to each unit owner 14 days or more prior to the meeting. In order for the election to take place, there must be a quorum defined in Article IV, section 4 as “The presence at the meeting of members entitled to cast, or of proxies entitled to cast, twenty percent (20%) of the votes of the Association …”
As you may recall, the quorum was not obtained in the first meeting last year. Please plan to attend the meeting or mail in your meeting proxy and sealed ballot by following the instructions you receive in the second meeting notice.

Special Board Meeting on Comcast Contract
There will be a special meeting of the Siena Oaks Board of Directors on Wednesday, December 17 at 7:00 pm in the clubhouse, to discuss the contract with Comcast for neighborhood cable TV. The current contract is expiring and the board will discuss options and costs.
The 2015 budget contains an assessment allocation of $165,000 for the yearly cost of providing basic cable to each residence. This amounts to about 25% of the monthly HOA assessments.
Special Board Meeting
There will be a special board meeting on Wednesday, November 19 at 7pm in the clubhouse to discuss the Comcast Cable contract for the neighborhood.

Siena Oaks is a quiet neighborhood of shaded streets and well-kept houses. Live Oaks and various palm species on each lot provide a wooded feel. Amenities include tennis courts, a community pool and clubhouse, and green lawned common areas.
Annual Meeting Rescheduled
The rescheduled meeting will be on Thursday May 15 at 7pm at Tropical Sands Church. You should be receiving a new ballot and proxy in the mail along with detailed instructions on how to submit them. If you plan to attend the meeting, please arrive by 7pm so that a quorum can be determined.

Annual Meeting to be Rescheduled with New Proxies and Ballots
The HOA attorney made the announcement at a brief meeting on April 17th. Instructions to the property owners were confusing and there were misunderstandings that led to an inability to certify a quorum via the proxies and to validate the ballots that were submitted. The attorney’s firm will pay for mailing new proxies and ballots to all of the homeowners in the next few days, accompanied by detailed instructions. Siena Oaks will not incur any costs for this rescheduled Annual Meeting.
The date and location of the meeting has not yet been determined. Watch for the mailing and for an announcement of the date.
Postponed Annual Meeting Rescheduled
The sum of the lots represented by proxy or in person at Tropical Sands on March 27 fell nine short of a quorum. Consequently, another meeting will be held on April 17 at the Siena Oaks clubhouse.
Most ballots for the Patio Homes director position were collected at the meeting or by mail, but they cannot be counted until a meeting is convened with a quorum.
